How to contact Yamasa

Email is by far the best method, however postal, telephone and fax details are included below:

(1) Postal Address

Please note that addresses in Japan are written in the reverse order to that common in western countries. Please write clearly - printing the address using BLOCK LETTERS is usually best. Block letters are usually easier for the Post Office staff to read.

Please note that if you wish to write to a student at Yamasa - it is best to use the Institute's address, NOT the residential address. Simply write the name of the student on the letter or package underneath the Institute address and our internal mail system will deliver it to the student. Also useful for registered mail and courier items - where they won't be able to deliver it unless someone signs for it. In many cases the courier services attempt to deliver to an apartment during class hours, so its better to have it sent to the Institute where the Student Services staff are always on hand to assist.

Notes:

  • If calling from outside Japan, dial 81-564-55-8111. 81 is for Japan, its the country code. The city code becomes 564, you don't need the 0.
  • If calling from outside Okazaki city, or using a cellphone/mobile, dial 0564-55-8111. 0564 is the city code.
  • If calling from inside Okazaki city, just dial 55-8111.

    (3) Email to Yamasa

    As far as possible, we try to publish every single piece of information you need on the website. As backup of course, there is a small group of caffeine fueled human beings in the International Office here in Okazaki ready to help you if you need it.

    Please note that www.yamasa.org receives a very large amount of email every day. We aim for replies within just 12-24 hours, but if we need to consult with third parties such as the Immigration Bureau, specialized staff/experts etc it can take up to a week sometimes. Please also note that for almost 92% of emails, the information people are asking for is already published on the site. Please use the search engine extensively BEFORE you write.

    And in some cases, the questions are sent to the wrong email address.

    If you need the information fast (as in right now) - please help us help you. Here's a few hints...

    We do of course recognize that there are times when it is hard to find specifically what you are looking for, particularly if your native language isn't Chinese, English, German, Korean or Spanish. It may be that the info you are looking for hasn't been published yet, or the keywords we use are different to the ones you may have expected.

        Example 1: We frequently receive emails from Singapore asking if we have a hostel. If alternative keywords such as accommodation, housing, apartments, dormitory etc are used in the search, then the information would be easily found.

        Example 2: "Americanisms" - The page is deliberately written to be dialect neutral - for example while the spellings in the English language version have largely been converted to the North American usage, the grammer and terminology is intended to be accessible to other native English speakers and to EFL/ESL speakers from other cultures. Similarly the Spanish version is written with the objective of covering the regional variations in Spanish usage.ie: We have been careful to define words such as semester, academic quarter, term, module - which can have different meaning depending on your place of origin.

        So before you email us, please observe the following, as it will help you get the information you need quicker:

      • If you can't find it through the navigation icons, use the "sitemap" or "search box".
      • If you still can't find it, click here and browse through the "frequently asked questions" directory.

    Of course, if you still can't find it, or have detailed questions not covered in the FAQ, then its time to write.

    First up, choose a name for the subject line in your email. Write something like one of the following in the subject line of your email so that we know what it might be about. It should be something short and succinct will help our staff prioritize your email better than a blank space, the word "question", or something truly stupid such as "Hi there!" etc etc etc.

      For Example: "question regarding SILAC program", "course confirmation", "application for workstudy XXXXX (include reference number)", "credit transfer for University XYZ", "customer complaint regarding ABC", etc.

    ALSO - please ensure that you include in your email your name, and any relevant information such as nationality, Japanese language proficiency level, purpose of study etc that may help us answer your question.

    Next step is to send your email to the right person. If you send your question to the wrong person, it won't be lost, but it will take a little longer to get a reply to you.
